The Novo Nordisk Foundation Center for Biosustainability (CFB) at the Technical University of Denmark (DTU) is looking for a Maternity Cover for a Project Assistant for the period from May 2018 to August 2019. The Project Assistant will provide administrative support to the Project Leaders in managing externally funded projects and will also ensure development and implementation of lean administrative processes and procedures.

The project assistant is organizationally associated to the Project Administrative unit and will have reference on daily to the Administrative unit at the Center.

The job
You will provide coordinative and administrative support to the projects and also play a role in the Center consolidation and reporting of research results. Therefore you will in your daily work have contacts to a wide range of researchers and project managers as well as contact to the administration of the projects; which may be the DTU units or the funding agencies.

A part of the job is to handle support management of larger projects with organization of meetings, minutes of meetings, distribution of consortium information, consolidation of reporting and management of homepages.

Collection and consolidation of progress reports from project partners, planning and organization of various projects is an important part of the activities. The reporting also extend to use reporting systems, especially at the grant authorities web pages, but also within the DTU systems in cooperation with the internal systems and units (economy centers).

Primary areas of responsibility
You will be a key person in the project activities concerning:

  • Administration of grant (international and national grants) in accordance with the general administrative rules that apply for DTU Biosustain/DTU. This also includes reading grant guidance independently to understand specific reporting requirements, budget controlling, interfacing with the project support, economy center and HR department
  • You will administrate the research staff associated. This includes: ensuring timely reporting, and registration of costs and effort, submission of relevant reports (also the DTU report schedules), documentation and repository actions and other group activities
  • You will be active in the administrative support in association with the Centers fundraising effort; and in collection, analysis, presentation and reporting data for impact factor assessment purposes activities for the reporting from the Center. You will also contribute to various outreach activities of the Center
  • You will coordinate calendar and meeting schedules of the Project managers as  well as deal with travel reimbursements and other registrations, which is required for the financed projects.

A successful candidate will:
  • Have strong written and spoken English as skills as all communication and reporting will be in English
  • Be good in written and spoken Danish
  • Have administrative experience with international projects
  • Be a team player and help where it is needed to ensure a well-functioning project administration
  • Have a well-structured work style and be capable of managing several concurrent activities
  • Enjoy to work independently, however with focus on the common target
  • Be able to understand complex guidelines and develop administrative systems and processes, that satisfy such regulations

Knowledge of the Center’s field of research will be an advantage, but is not a formal requirement. The candidate does not need to have a scientific background, but have to be able to coordinate scientific reports. The expected educational level is a master’s degree or equivalent.

Salary and appointment terms
The appointment will be based on the collective agreement with the Confederation of Professional Associations (AC). The allowance will be agreed on with the relevant union.
